Communications Team Assistant

Communications within the BAM UK & Ireland division is a strategic enabling service which drives awareness, understanding and engagement across our diverse audiences. We use insight, knowledge and analysis of our market and our customers to engage them with our work and our products and services in the most impactful and effective way. Making Possible
The Communications Team Assistant will provide essential administrative and coordination support to the BAM UK and Ireland Communications team, ensuring smooth delivery of all communication activities and workstreams. This role is essential in managing processes, reporting, and operational tasks that underpin the team’s success.
Principal Accountabilities:
Team Support & Coordination
Provide diary management for Communications Director
Support logistics for all communications-led events, both internal and external
Manage the calendar of team meetings and offsite sessions
Assist the wider Communications Management Team in delivering all communication activities and workstreams as required
Act as a central point of contact for administrative queries and support
Media Management
Manage the media centre and monitor the media enquiries inbox, ensuring timely responses
Maintain and regularly update all media lists and media assets and materials to ensure accuracy and relevance
Reporting & Analysis
Compile and distribute key reports, including weekly media review, media monitoring and coverage reports, monthly communications report for leadership meetings, and individual campaign/activation reports as required
Manage and maintain key contacts list
Creative & Asset Management
Oversee and organise photography and video media requests.
Manage the image and video media library
Financial & Administrative Tasks
Manage subscriptions, purchase orders (POs), and supplier and agency invoicing processes.
Manage communication team budget tracker
Your team
This role will be hybrid/remote, with some travel to offices around the UK and Ireland required from time to time during the year. It will report into the Communications Director, but will need to build strong relationships with the wider Communications management team, the broader communications team and key stakeholders across the business to effectively execute the role.

What do you bring to the role?
Knowledge, Skills and Experience:
- Strong organisational and administrative skills with attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Proficiency in Microsoft Office (PowerPoint, Excel, Word) and familiarity with media monitoring tools. Experience using AI tools such as Copilot would be an advantage
- Experience in corporate communications or a similar administrative role is desirable but not essential
